MLA ’20 FAQ

 Updated 3/20/20

Thank you in advance for your patience, as we continue to work through all the details of a rescheduled MLA ’20!

Why was MLA’s Annual Meeting rescheduled?

Our leadership and professional staff communicated daily to discuss recommendations from the U.S. Centers for Disease Control and Prevention (CDC) and World Health Organization (WHO), as well as authorities in Portland.

We also saw the travel policy restrictions affecting our members and attendees as many academic centers and health systems instituted travel bans or restrictions. Given the latest information available, the MLA Board of Directors made the decision to reschedule MLA ‘20.

We were fortunate to be able to reschedule in the same city, over the same number of days, and thank the Oregon Convention Center, City of Portland, our meeting hotels, and meeting contractors for their flexibility in helping us to reschedule.

What will happen to my existing meeting registration?

MLA will automatically transfer your existing meeting registration to the rescheduled meeting dates, August 15-19, 2020. You will NOT need to contact MLA to transfer your registration.

Will attendees and exhibitors be refunded by MLA for hotel and airline costs?

  • MLA will not be able to reimburse you for your travel expenses.
  • If you did not book your hotel with onPeak, you will need to transfer your hotel reservations to August as soon as possible, or cancel them.
  • We suggest you contact your airline and request to reschedule your flights as soon as possible.

Will registration fees be refunded?

For those who have already registered, your meeting registrations will automatically transition to the August meeting, with a new early bird registration date of July 15, 2020. Should you still need to cancel your registration, there will be no cancellation fees ahead of the new early bird date.  We will communicate individually with those requesting cancellations; please give us until the first week of April to connect with you and confirm your wishes.

Will any sessions be made available virtually?

Yes! We are still planning an enhanced e-Conference option for MLA ’20 and also need to plan for presenters that may not be able to attend during the August dates.  Watch for further information on plans in April.

Do I need to cancel my hotel reservation?

If you booked your reservation through OnPeak, you do not need to cancel existing hotel reservations, as they will be cancelling your reservation for the originally scheduled May event. You will receive further information and a new link to rebook. No other action will be needed on your part.

If you did NOT make a reservation through onPeak, you will need to cancel your reservations individually and rebook or reschedule.

What will happen with posters, papers and abstracts?

MLA strongly encourages poster and other educational session presenters to continue with preparations. MLA will be contacting all scheduled presenting authors as we plan in April.

Who can I contact for more information?

Email registration@mail.mlahq.org and a member of the team will get back to you.
